How do I create an event?

Events are a great way to organise activities at your club, such as tournaments, social events, clinics or group training sessions. Once an event has been created, players can view it in the player portal and sign up directly.

Create a new event

  1. In the Admin Panel, navigate to Location.
  2. Click + Event in the top-right corner.
  3. A new window will open where you can configure your event.

Configure the event details

Complete the required information for your event:

  • Name – Give your event a clear and recognisable name.
  • Description – Add a short description explaining the event.
  • Image – Upload an image to make your event more attractive to players.
  • Date & Time – Select the event date, start time and end time.
  • Courts – Choose one or more courts that will be used for the event.
  • Minimum & Maximum Participants – Set the minimum number of sign-ups required for the event to take place, as well as the maximum capacity.

Configure registration settings

Next, define how players can register for the event.

  • Registration Deadline – Set the number of hours before the event when registrations close. If the minimum number of participants has not been reached by this deadline, the event will automatically be cancelled. We recommend setting this to 24 hours, giving both the club and players enough time to adjust their plans.
  • Sign-up Type – Choose whether players register as Singles or Doubles.
  • Price – Enter the participation fee for the event.
  • Player Rating (optional) – Restrict the event to a specific player level by setting a minimum and maximum rating.
  • Gender (optional) – Limit participation to a specific gender or leave the event open to everyone.

You can choose whether players can see how many participants have already signed up for the event.

When enabled, a progress bar is displayed in the player portal, helping players see how close the event is to reaching its minimum or maximum number of participants.

Publish the event

Once you've completed all settings:

  1. Click Create Event.
  2. Your event is immediately published and becomes visible in the Events section of the player portal.
  3. Players can now view the event details and register directly.

Tip: Add an attractive image and a clear event description to encourage more players to sign up. If your event is aimed at players of a specific level, use the rating filter to ensure a balanced and enjoyable experience for everyone.
